Approval | The process of approving a new version of a drawing or document that has been checked in or uploaded and submitted to a workflow. RedEyeDMS provides an advanced Approval Tool that supports multiple methods of comparing the new version of the drawing with the changes requested in the markup(s). |
Artefact | Any Drawing, Document, or Media stored in RedEyeDMS. |
Bucket | A Bucket is designed to be an organisation-based entity in which all an organisation's data is associated (stored) and all their configuration is associated too or contained within. Customers can elect to have multiple buckets, e.g. |
Check-in | The process by which an assigned role/s imports a new version of an existing drawing for approval. Note |
Check-out | The process by which an assigned role/s exports a drawing to enable edits (markups, fast draft, status changes, review checks etc.) to be applied. The edits are normally performed within 3rd party CAD or Modeling software. |
Favourite | Method of selecting drawings, groups and reports which are commonly used and making these quickly accessible from the dashboard in both the web browser and the iOS or Android apps. Favourite drawings on the iOS and Android apps can also be accessed offline, allowing markups to be performed in the field where there is no internet connection. |
Group | A subset of drawings in the bucket, filtered by specific criteria, e.g. |
Markup | The term used for a drawing that has edits marked on it for the purpose of correcting mistakes or updating the drawing to reflect changes to the physical as-built asset. Traditionally, markups have been performed using a pen on a printed paper copy of the drawing. RedEye continues to support pen and paper markups and adds a powerful On-Screen Markup Tool which enables users to markup digitally in a browser or on mobile touch screen devices. |
Metadata | Literally “data about data”, metadata in RedEyeDMS is in two forms. Firstly, the fields and values extracted from the drawing during the import process (eg. scale, title, description) based on DWG Tags set and secondly additional metadata added by users (eg. discipline, geo-location, project name or other data), which is not contained within the drawing. Metadata serves multiple purposes; including enabling search capabilities and determining appropriate workflows. |
Printing generates and downloads a PDF version of the drawing, which can be viewed, emailed or sent to a physical printer. | |
Review | The process of checking a markup and determining if these changes are correct and should be applied to the drawing. It is usually performed by a person with knowledge and expertise in the specific area. |
Revision | The incremental letter or number (often A, B, C etc.) that is included on a drawing or document to indicate how many times it has been revised and capture the change management and history of the artefact. It is added and controlled by the drafter and is extracted as drawing metadata, which is used for searching and to help order the various copies of a given drawing created throughout its life. |
Red Lining / RedPen | Redlining/Redpening refers to "as-built" marks on a drawing showing the as constructed state, indicating where there were deviations from the design drawing. You can submit redline/redpen markups via email, do on-screen mark-ups or upload markups from external applications such as AutoDesk or ODA. |
Collection | A set of drawings that have been selected from the search results, upon which Bulk Actions can now be performed from any of the menus. |
Status | Metadata field added to drawings to identify their drawing status (eg. concept, preliminary, for construction, as-built). In paper drawings, the status if often identified with an ink stamp, e.g. |
Upload | The process by which drawings are imported into RedEyeDMS. The upload process comprises numerous functions including extracting the metadata and QA checking of the content. |
Version | The incremental number (1, 2, 3 etc.) applied to indicate the number of “versions” contained within RedEyeDMS. Each time a change is requested or made to an approved drawing a new version is created. This is an internal system number and is not related to the drawing Revision. Each Version may contain multiple copies of a drawing in various states, e.g. |
Visual Timeline | A powerful visual tool displaying all copies of a given drawing on a sliding timeline and ordered by date and time. The Visual Timeline gives an instant visual indication of the number of copies of a drawing that exist in RedEyeDMS, the statuses of those drawings and the time gaps between them. |
Workflow | Also known as business process automation, workflow(s) map the processes used by the clients business to manage the creation, distribution, marking up, reviewing, redrafting, approving and reissuing of engineering drawings. It would be common for some clients to have multiple workflows based on both the Status and Discipline of the drawings. |
