Managing the Reported Artefact Queue
When a CAD drawing file is uploaded into DMS as a Drawing Artefact Type, DMS applies validation during the upload process that checks all of the appropriate Font Files, Plot Style Files and Xrefs are available in the bucket. If any of the files are missing for the uploaded file, DMS will create the artefact but will flag it as a Reported Artefact with details of what exactly is missing. Missing Fonts, Plot Style and/or Xrefs could impact the accuracy and quality of the drawing’s preview in DMS and must be corrected. RedEye also allows all users to report problems with Artefacts. These problems could be related to a number of issues, such as incorrect numbers or titles, etc. The mechanism provided to do this is the Report Artefact feature, located in the Artefact Details page.
Managing the Reported Artefact Queue
To effectively manage these problems, RedEye provides Bucket Administrators with a Reported Artefacts queue. In this queue, all the reported artefacts are listed, along with the Issue, Details of the problem, and a timestamp. Bucket Administrators can use this queue to facilitate the process of investigating and fixing the reported problems.
To access the Reported Artefacts queue, start by navigating to the Bucket Management page. Next, scroll down the left bar and select Reported Artefacts. If you choose, you can now use the Column Filters to filter by keywords such as specific Issue type, or Artefact Number series. You can also download a CSV of results, to work with your data in a spreadsheet.
You can click on the Artefact Number hyperlink to access the Artefact Page of each reported Artefact.
From the Artefact Page, you can also click to View Details of the Issue that has been reported.
When you have addressed the issue, you can mark the Artefact as Fixed. And this can be done from the Artefact Page or the Reported Artefacts Queue.
When you mark an artefact as Fixed, you will be returned to the Reported Artefacts queue, and the Issue will no longer appear in the queue.
System Issue Types in the Reported Artefacts Queue
System issue types are those that are auto-generated by DMS, usually at the point of upload.
There are three types:

A font is required by the artefact so that the drawing's preview can be rendered as intended.
If you know that a particular font should be in your bucket, please contact your RedEye CSM who will arrange to have the file (usually in .shx or .ttf format) uploaded to the bucket on your behalf. |
Plot Style(s) Missing |
A plot style is required by the artefact so that the drawing's preview can be rendered as intended. This is usually provided to you by the drawing's drafter. |
xRef(s) Missing |
A External Reference file that needs to be uploaded to your bucket to render previews correctly. They are usually in a CAD or image file format. |
Bulk Refresh of Reported Artefacts
The Bulk Refresh of Reported Artefacts now allows Bucket Administrators to refresh the reported list once they have uploaded the missing font files, plot styles and/or Xrefs with the ‘Refresh List’ button.
This will submit a bulk re-validation and preview refresh of all artefacts listed.
Any artefacts that have had their required files reported will have their preview refreshed and the Reported Artefact entry updated as resolved and so will be removed from future listing. Any issues that are not resolved will remain on the Reported Artefact listing.
DMS will confirm that the Bulk Refresh job is running in the background. The System Administrator can continue with other activities in DMS while this is running.
Depending on how many artefacts are listed as reported Artefacts the bulk refresh will complete. This could take some time. Once the Bulk Refresh of Reported Artefacts has been completed, DMS will email a notification that it has completed with links to views within DMS to provide you with insight into what artefacts were updated and removed from Reported Artefacts as part of the Bulk Refresh.
From the email – if you select the link to ‘Download Results CSV’, a CSV file will be downloaded from DMS reporting any changes to the status of the contents of the Reported Artefacts updated by the Bulk Refresh processing.
