Often you may want to update a number of artefacts with the same metadata, such as a contractor name or an area code. RedEyeDMS makes this process simple through the use of Bulk Actions.
To quickly add common to all metadata to a number of artefacts, start by finding the artefacts in the Search view and adding them to the Collection by clicking the check boxes next to each Artefact. Next, click on the Collection button and select Actions and Update Metadata.
Select the Field you want to add from the list. You can select multiple Fields and update the metadata in one go.
Input or select a Metadata Value for each of the Metadata Fields.
Note:
- For Selection type fields with large value lists you can filter the results pick list in the Search box by either the Metadata Value (the large text) or, if available on your bucket, Description (smaller, grey text). Selected results that have descriptions will display them under the Value on screen.
- Dependent Metadata structures will be honoured when adding fields to be edited. Selecting a field that is dependant on another field will automatically add BOTH Dependent (Child) and Determinant (Parent) fields to the 'Fields to Update' pane to be populated.
- In line with standard Dependent metadata behaviour, the Dependent (Child) value can't be selected until a Determinant value is selected. Then a filtered list of valid dependent values will be available to choose.
Click Assign, and the artefacts will be updated with this new metadata.
