RedEye makes it easy to access artefacts that you have permission to perform drafting activities. To have permission, you must be given the Drafter User role for the Groups where the Artefacts are associated.
You can start Drafting from two places. You can search for the artefact in the Search Page and navigate to the Artefact Page, or you can access all the artefacts ready for drafting from the Drafting Queue. In this guide, we will focus on the Drafting Queue.
Click Drafting from the left Navigation bar to open the Drafting window. From here, you can see the Drafting queue, the My Drafts queue which displays artefacts you have checked out already, and the Bulk Check-in tool which can be used for bulk importing artefacts you have finished drafting.
There are a number of features in this view to help you quickly find what you are looking for. The Show Actionable button will filter the queue to display only those artefacts from the Bucket that you have permission to draft. And the Filter selection fields can be used to further refine Artefact search results in the Drafting Queue.
Checking Out Artefacts:
Once you have found the artefact that you want to action you can choose to check the artefacts out individually, or you can select the artefacts to Bulk Check-out.
Single Checkout:
To check out a single artefact, simply click on the Artefact Number to go to the Artefact Page. From here you can
-
Click the Check Out button from the Workflow Bar. This button will be visible whenever the Artefact is on a Workflow Step that permits Check Out.
-
Or if the workflow is designed with the Fast Draft step, you'll be accessing Fast Draft under the Markup menu.
Note: if you are not seeing the Check Out or Fast Draft, please check
-
Are you assigned with the Drafter User role?
-
Are the artefacts in the right workflows designed with Drafting steps?
If you like, you may also include a comment here that will be shown in the Version History.
You will now have the option to Download, instead of getting the four download options previously available when you Check-Out a drawing for drafting there is only one download button that provides the same files as the Bulk Checkout from the Drafting tab.
The files to be included in the Zip download may consist of:
-
Native file (if it exists)
-
Redpen Markup(s)
-
Current File (the version before the Checkout)
-
Newest 'Original' file (the version that existed before Markups)
If no native file was uploaded, for example, a PDF was uploaded instead, then there will be no CAD file in the Zip. Alternatively, you will receive the original file that was uploaded for the current version.
Bulk Checkout:
Checking out in bulk is as simple as selecting the check box for each of the files you want to Check-out from the Drafting Queue, and then clicking on the Check-out Selected button.
A list of items will be displayed to Confirm the Artefacts you want to Check-out. You can deselect any Artefact now, and choose to include a Transcript of the Artefacts. When you are ready, click Confirm Check-out.
RedEye will now compile these Artefacts and create PDF Renderings of Markups for extraction.
When complete, you will receive an Email, and also a Notification. Click Download and the files will download to your Downloads folder in a Zip file. This will include the original file that was uploaded for this artefact version, in native format if this was provided, and all markups.
IMPORTANT NOTE: CAD files supplied in the Zip file will have a file name format of Origfilename.Artefact_ID.DWG (eg. Drawing 123456.dwg would be supplied with name 123456.987632.dwg on bulk checkout - its unique ID appended to the filename). It is critical to maintain the ".Artefact_ID" portion of this filename when Bulk Checking In drafted CAD files as we use this suffix to match the artefacts existing in your bucket. You may edit the prefix portion to reflect Rev changes (and manage in your CAD file system) etc as long as the artefact ID is present after the dot in the filename. We strip this suffix from the filename on check in)
You may now proceed to make changes to your drawings in your Autocad or other drafting applications as applicable. When you are finished, you can Check-in your artefacts to RedEye singularly, or quickly in Bulk.
